Position Overview:
The Diller-Quaile School of Music, an esteemed community music school on NYC’s Upper East Side, seeks an experienced Facilities Manager to oversee the maintenance and upkeep of its beautiful double townhouse that serves as the backbone of its operations. After acquiring the first townhouse in 1955 and the second in 1994, these properties were joined together to create a unified school space, which includes studios/classrooms, offices, and a performance space.The Facilities Manager will be responsible for overseeing the facility and all mechanical systems and equipment, while providing leadership to operations staff including superintendents, receptionists, and housekeepers.
Position Responsibilities:
Responsibilities include, but are not limited to:Prepare and monitor annual operating budget for all facility and equipment related expenses
Oversee building and school property (e.g., furniture, fixtures, equipment, etc.) for safety, cleanliness, repairs, and maintenance; purchase new items as needed
Arrange and supervise contractor and technicians responsible for building repairs, mechanical systems, and office equipment, including HVAC, fire alarm, plumbing, roof, CCTV, lift and elevator, telephone system, postage machine, and photocopier, as well as general building maintenance
Review maintenance/service contracts annually and obtain bids for new contracts if required; obtain competitive bids from contractors and/or architects for large scale capital projects as directed
Ensure current and proper Certificates of Insurance are on file for all outside vendors/service providers prior to their arrival onsite; maintain COI binder and ensure documents are updated and current; request/communicate with vendors/service providers for updated COIs as needed
Arrange cleaning of floors, carpets, area rugs, upholstered chairs, and piano covers during school holidays; coordinate and supervise summer cleaning, painting, and repair projects
Perform weekly facility assessment walk-through with superintendents, maintaining log of repairs/projects
Schedule required building-related inspections, ensuring compliance always maintained (e.g., elevator, sprinklers, fire alarm, etc.); meet with inspectors as scheduled to facilitate
Ensure timely corrections of building citations and/or violations; ensure follow-up filings and communications are performed as needed
Assist in and maintain log of Emergences Response Plan drills; maintain fire alarm system, blackout shades, etc.
Help build and oversee facility rentals program; communicate with potential renters, prepare contracts, maintain rental log and reconciliation of rental payments/outstanding balances
Schedule and supervise all reception, maintenance, and cleaning staff; arrange for substitute coverage as needed; review timesheets and approve hours/overtime for direct reports; assist with greeting visitors as needed
Be on call for emergency building situations regarding fire alarm system, elevator, sprinkler, plumbing, etc. as well as for supervising and answering questions of receptionists and building superintendents during evening and weekend hours
Other duties as assigned.
Minimum QualificationsAssociate’s or Bachelor’s degree in Facilities Management, Business Administration, or a related field, or equivalent work experience.
3-5 years of experience in facilities management, building operations, or a related field, including managing maintenance, repair, and renovation projects.
Proven ability to lead a team, collaborate with colleagues, and oversee contractors.
Ability to lift up to 50 pounds and perform physical tasks as needed.
Knowledge of building systems (HVAC, plumbing, electrical, etc.) and security systems, including alarms, surveillance, and access control.
Strong verbal and written communication skills and ability to maintain professional relationships with diverse stakeholders.
Excellent time management and ability to manage multiple priorities and handle emergency situations.
Proficiency in general office software (e.g., MS Office).
Preferred QualificationsCertification in Facilities Management (e.g., IFMA, BOMA) or related credentials.
5+ years of facilities management experience in an educational or arts-related environment.
Experience coordinating events, special projects, and managing high-traffic areas.
Familiarity with energy management systems, green building initiatives, and sustainability practices.
Experience building automation systems and technology integration.
